View Full Version : Need suggestions for coping with email issue

Our office is working with another office in our region and the other office is full of people who do nothing but email our 'team' all day. All. Damn. Day.

Now, I only check my (work) email four or five times a day and it's gotten to the point where it d-r-a-g-s l-i-k-e m-a-d b/c the 'team' has sent and replied and cc'ed and forwarded so many emails with monster attachments.

The final straw? I just got an email with another monster attachment - with the text of the email saying 'Located on such-and-such bit of the server'. WTF!

Any suggestions on how to (politely, but firmly) inform the other office team members that we do not all need to be cc'ed on the details, we do not all need to have the copy of the document on the server sent to us, and we sure as hell do not need replied emails with the original-unmodified document attached?!

It is truly driving me batty and my email program haaaaates on me every day.

Maybe just send out an email politely saying that you prefer not to be cc'd on every email because it's dramatically slowing down your email.

Tried it.

It was either not acknowledged or obliquely mentioned in our last (weekly, multi-hour) conference call as 'keeping us all informed on all the cases'.

Maybe try storing most of your email in folders an keeping your inbox clean. Get in the habit of foldering everything the last 15 minutes or so in the day.

Sorry, don't know what to tell you - you can't exactly control what other people send you.

Just to give you some perspective, a group of my coworkers are in the hallway talking about yeast.

I'll take the email bombardement over this, seriously.

If items are kept in the same location, maybe you can just tell them to let you know the location and what changes were made everytime they are made.

Either that or they could use the hyperlink function. I use with Outlook but I don't know if it works with other email programs like Lotus Notes. Basically all you'll see is a link and once you click it the document will pop up. Same idea with the document coming up and much much less space taken up.
